Managing an online application and review process usually gets a lot more difficult when recommendations are added to the list of things to manage
One of the nicest features of ReviewRoom is that it allows applicants to request recommendations from external parties. In a very traditional sense, before the advent of ReviewRoom, this process was quite complicated…
An applicant (let’s call him Tim) who is applying to a scholarship program (call it the ABC University Entrance Scholarship) would normally have to contact his recommender (call her Stacey) and ask her to manually send in a letter of recommendation. Stacey would then write up a letter (after being reminded a few times) and then would mail it in. Tim, who hasn’t seen the letter, will in the meanwhile worry and stress about whether or not the letter of recommendation will in fact be received by ABC University…
When ABC University does receive this letter, they will have to figure out which application the letter of recommendation belongs to and make sure to have the letter placed in the correct folder… If multiple judges are going to be reviewing the application, then copies of the letter of recommendation probably need to be made! Lots of work…
With ReviewRoom, the process becomes easy…Tim simply fills out an online form as part of his application and puts down the contact information for his recommender, Stacey. Stacey then receives an email with instructions to upload her letter of recommendation online – simple, fast & easy.
Once the letter is uploaded, Tim can see that Stacey’s done her part – but as convention goes, cannot see the actual content of this letter… this happens to be a good thing since it gives Stacey the opportunity to be candid in her letter. The admin (this would be you) can track all of this very easily… i.e. you can see applicants on the system who have “requested” a recommendation and you can even see applicants who have “requested” a recommendation and whose recommenders have actually uploaded their letters.
The beauty of ReviewRoom is that you can filter by almost any criteria – so you could ask ReviewRoom to show you the list of applicants who have “requested” a recommendation letter but whose recommenders haven’t actually uploaded their letters yet. You could then send this group of applicants an email to tell them that their recommenders still haven’t completed their tasks and since the deadline is approaching that they might want to send their recommenders a reminder note…
