ReviewRoom has a number of advanced features and options that are designed to make the management of your online competition as easy and straight-forward as possible.
For example, applicants who need to complete the same tasks can be placed into the same applicant group. This way, you need only manipulate the tasks associated with that particular group and it will affect all members of the group.
Q: But what if you want to further divide your applicants? Is there a sub-group feature in ReviewRoom?
A: Yes — we call them categories. Here’s how they work..
Applicants may be assigned to only 1 group, but they can be assigned to 1 or more categories. This is very useful in cases where you need different members of a given applicant group to perform the same tasks, but to be treated differently in the review or analysis phase of your competition.
An Example Use Case
Let’s assume a business is hiring full-time and part-time employees. Both types of candidates will need to complete the same ReviewRoom tasks, such as uploading their resume. But it just so happens that part-time candidates are interviewed by a different member of the HR team than full-time candidates.
This means that all full-time applications need to be sent to one reviewer, and all part-time applications must be sent to another.
Couldn’t You Just Establish 2 Separate Applicant Groups?
Yes, that is one way to solve this problem. However, you will need to duplicate each task and build two workflows: one for the full-timers, and one for the part-timers. And should you need to make a change in your overall application process, you will need to modify two sets of tasks.
As you can see, this isn’t very convenient.
Categories Makes it Easier
Categories let you isolate different applicants for reviews, reporting and analysis.
Accessing the Categories Section
The Categories section is found in the Manage menu, beneath the Submissions sub-menu:

Use categories whenever you want to further sub-divide the members of a group for reviewer assignment or reporting and analysis. As you design your ReviewRoom, keep in mind that you cannot assign tasks based on categories, only groups.

This powerful new way of using ReviewRoom means that you can have “sub-administrators” who can have their own unique abilities without being given complete control over your ReviewRoom.
One of our customers is using this functionality in ReviewRoom to create something incredibly powerful.
This customer required a super user role to be created that would be granted the sole ability to create regular user accounts. These super users would be chosen individuals or organizations from across the United States who required the ability to manage their own independent sub-section of users. It was required that each super user must not be able to see, manage or control the user accounts that were created by other super users.
In essence, the flexibility and power of ReviewRoom allowed our customer to create independent competitions and application procedures that will all be sub-managed by individual super users.

Explanation of the above graphic:
The administrators, seen in our graphic at Level 1, required the ability to appoint special permissions in their ReviewRoom to a large number of individuals across the United States, called super users. These super users, seen in Level 2, would be given the ability to add new users to ReviewRoom, at Level 3.
Most importantly, super user “A” would not be able to access the user accounts that were created by super user “B”. ReviewRoom’s highly configurable platform allowed for this security requirement to be easily implemented.

In today’s blog post, we’re going to showcase this new feature and show you how to use it. But please be aware that your account will not have this feature enabled by default. Please contact your account manager to have it enabled before trying to follow the steps in this guide.
How to Access Role Management
Log into your administrator account on ReviewRoom and click on Manage admins beneath the Manage menu:

Understanding the Role Management Screen
There are three main sections to the role management screen. Once you understand these three sections, you are well on your way to making the most of this feature.1. Grant Permission
If you click to select one or more administrators from the list, the Grant Permission drop-down will allow you to add specific permissions to them. This is quick and easy to do, but we will show you a more organized way to manage roles in a moment.
2. Remove Permission
Conversely, you can select one or more administrators from the list and remove permissions as well.
3. Create Role
This is the recommended method to manage roles for your administrators. Clicking on this button will bring you to a new screen that lets you select multiple permissions and assign a unique role name to them. You can then add one or more administrators to these roles for easier management of their abilities.

ReviewRoom makes it incredibly easy to create different roles for your administrators. Simply give the new role a name at the top, and then tick off each box to enable that specific permission or ability:

After you have saved your role, you will be returned to the Manage admins screen where you can easily apply roles to one or more administrators:

Usage Example
For example: we’ll imagine that ReviewRoom is being used by a human resources manager who needs to collect applications for two types of jobs: full time positions and part time positions. We’ll assume that applicants to the full time positions will need to answer different questions than the part time applicants. And of course, we don’t want people who are applying to a full time job to see the part time tasks, and vice-versa.
You can use Triggers in ReviewRoom to only show the proper tasks to the proper type of applicant. This is a very powerful feature that makes your application process much more robust and professional. It’s also very easy to accomplish!
Overview
First, let’s break down the necessary steps. The human resources manager could create a simple form task with a drop down menu asking the applicant if they are interested in full or part time opportunities. Next, she would need to create at least two tasks: one for the full time applicant to complete, and one for the part time applicant to complete.
Note: For the purposes of this illustration, it does not matter what these tasks are, just that they should only be seen by the appropriate type of applicant.
The last step, which we will break down for you with images, is the creation of the triggers. Let’s get to it!
Create the Triggers
Log into your ReviewRoom’s administrator account, and go to the “Settings” menu group. Now click on the “Triggers” option which is located beneath the “Control” sub-menu.
Unless you’ve already created some triggers in your ReviewRoom, this list will be empty. Below is a screenshot of the 3 triggers we will be creating for our example:

The first trigger will hide both the full time and part time tasks. The second trigger will be programmed to reveal the full time task if the applicant identifies as a full time job seeker, and the third trigger will be programmed to reveal the part time task if the applicant is looking for part time opportunities.

The first trigger is created as such:

The Trigger interface was built to be very straight forward:
We can see that this trigger will be Activated When a new user registers.
The Conditions section tells ReviewRoom what needs to be occurring in order for the Actions to take place. In this case, we want ReviewRoom to take action when we’re in the Application round, and when we’re dealing with Job Applicants for our applicant group.
And of course, the Actions section tells ReviewRoom to hide both forms.
Recipe for Trigger #2

This trigger will check for a response of “full time” from the form “What type of job are you looking for?”, and reveal the appropriate task to the applicant.

Summary
Thanks to the creation of these Triggers, a new applicant will only see the forms that relate to what they are looking for. Typically, triggers are used to automate administrative tasks, but this example shows just one way that they can be used to customize your user experience as well.
