ReviewRoom is an incredibly powerful software platform. Over time, many features and options have been engineered to give our customers the proper functionality to accomplish the tasks that are important to them.
As well, combining existing functions and options in a specific way can create some amazing new features that may not have been previously imagined. Admin-only tasks could be called just such a feature.
What is an Admin-Only Task?
To put it simply, an admin-only task is any task whose visibility options have been modified so that only administrators can view it. In this way, you can create a task inside of an Application or Review round that will only be visible to, and hence accessible to, the administrators.
How Do I Create One?
Creating an admin-only task is quite easy to accomplish in ReviewRoom. Simply create a task anywhere in your ReviewRoom that should only be accessible and visible to admins.
Once you create the new task, you will automatically be shown the design screen for that particular task. From this screen, you will need to click on the Visibility tab:

Next, you must check the “Set Visibility Options” box. Finally, you will want to select the groups that should not see the task you are creating:

Why Would I Want an Admin-Only Task?
One of our clients is using admin-only tasks to create a summary for any given submission. The administrator will view the application, and then complete an admin-only task that asks for a brief summary or synopsis. The judges would then review the summary to decide if the entire application is worthwhile reviewing.
Another use case, which we will be exploring in-depth in a future blog post, involves submission management. In this use case, admin-only tasks can be coupled with triggers to produce the following behaviour:
- • An administrator decides that an application needs something more from the applicant,
- • The administrator clicks his or her mouse a few times and types a message to the applicant,
- • The application is automatically ‘unsubmitted’ and moved back to the previous round,
- • And an email containing a message from the administrator is automatically sent to the applicant to explain why they are being asked to submit again.

To the left, you can see how the sign-in area of your front page will look after enabling this new feature. Your users have the option to connect through their favorite social network, or by creating a traditional ReviewRoom account. 
Enabling this feature is quick and easy to accomplish. Start by logging into the administrator account for your ReviewRoom, and then click on “The basics” in your navigation menu, which is located beneath “1 Getting Started”. Next you must click on the “Registration” tab and tick the boxes that correspond with each particular social network. As you can see, you have control over which social networks can be used for logging into ReviewRoom.
Finally, click the “Save” button to commit your changes.

You can now add a task to allow reviewers to upload documents, and you can also add a task which requires applicants to invite co-applicants. Let’s take a deeper look at these new tasks and what they do:
For Reviewers: Upload a Document
This task allows your reviewers to upload a document. To use it, simply add the task called “Upload a document” as shown in the screenshot below:

Remember that you can change the settings of this task, like many others in ReviewRoom, to make it optional or required.
For Applicants: Enforcing Co-Applicants
As you may already be aware, ReviewRoom supports co-applicants (sometimes referred to as “members”) for submissions. If this feature was enabled by the administrator, an applicant would be permitted to optionally invite one or more co-applicants to complete the submission.
However, there was no way for the administrator to enforce a set number of co-applicants to be a part of the submission. This new task introduces that functionality. Here’s how to add it:

Simply select the task labelled “Add member(s)” as shown in the above screenshot. Once you create this task, you will be taken to the screen that allows you to change its settings:

In these 4 tabs, you can set various options that will impact the way this task behaves for your applicants. Let’s focus on the “Options” tab, as the screenshot shows.
There is an input box that accepts a positive integer, which allows you to enforce a finite number of co-applicants that must join the application before it can be submitted. You can also input “0″ to disable the restrictions, but still allow an applicant to optionally invite co-applicants.

Update #1: Trigger Action Logs
As we have mentioned in previous blog posts, the trigger system is an extremely powerful automation feature of ReviewRoom. Using triggers, you can automate virtually any manual task to free up your time and explode your productivity.
Each time a trigger successfully fires (“firing” is when a trigger activates) a counter increments by one. This information helps administrators when testing their triggers, and also keeps them informed about the goings-on in their ReviewRoom.
However, it was a cumbersome task to check on multiple triggers. It involved a lot of clicking because the information was not accessible from one main screen. As well, when a trigger fired, there was no way of knowing when it fired, and which user caused the trigger to fire.
The Solution:
Click to Enlarge 1. The top-most checkbox will select all events that are currently visible from the log. You can also select individual events using the other corresponding checkboxes.
2. This field shows you the date and time that the trigger fired. Please note that triggers which fired before June 29th will not be accessible from this new screen.
3. This field will show the name of the trigger that fired.
4. In this field you will find the corresponding Submission ID for the trigger that fired.
5. The corresponding user that caused the trigger to fire will be logged in this field.
6. Quickly search for a specific trigger, date, user, etc. by typing in your query here, and clicking on the magnifying glass icon.
Guru Tip: The field headings for items 2, 3, 4 and 5 can be clicked on to sort in an ascending or descending manner.
How to Access this New Screen:

The Action Log is found beneath the Triggers section of the Settings menu in your ReviewRoom administrator’s panel.
Update #2: Email Confirmations for Applicants
Another popular feature request was regarding emails that were sent to an applicant via trigger. Until recently, if a trigger caused an email to be sent to your applicant, they would not receive a visual confirmation from ReviewRoom that this occurred.
With this new update, your applicants will now receive confirmation from ReviewRoom that an email has been sent to them.
No Special Set-up Required:
Make sure that your applicant receives the email by adding the {{ submission }} token in the “Send an email to” box as you would normally:
Now, once the trigger fires and an email is sent to the applicant, they will receive an immediate notice on the bottom of their screen to inform them as such.
