ReviewRoom + Salesforce

Great news for ReviewRoom customers: our application management platform can now integrate and synchronize with your Salesforce account! Our development team has worked extremely hard to make this possible, and the possibilities of what can be done with this new featureset is nothing short of impressive:

New users in ReviewRoom become new contacts in Salesforce

New submissions to your competition become new records in Salesforce

Form data submitted on your site is saved as a PDF attachment to a Salesforce record

These three examples are just the beginning. Read the official documentation for this integration to learn more about the capabilities of this featureset.

How to Enable the Integration

In order to activate the Salesforce integration for your ReviewRoom account, please contact your account manager.

Those who are already familiar with ReviewRoom know that there are three primary types of users that interact with your site: administrators, applicants and reviewers. In today’s blog post, we are going to show you how to customize the table of data that is shown to your reviewers when they log into your site to rank, grade or judge applications.

The Reviewers’ Perspective

First, let’s get a clear idea of what reviewers see by default after logging into your site.

Notice how there are three columns by default: Submission, Reference Material & Ranking the applicant. In many cases this will be sufficient for your reviewers, but what if you want to show additional applicant data in this table? ReviewRoom allows you to create up to two custom columns and populate them with data from the application.

Let’s take a look at an example.

Custom Columns

In the screenshot below, we have configured ReviewRoom to show two custom columns of information: the applicant’s province of residence and the number of widgets owned by the applicant.

The “How-To”

Now let’s see how easy this was to accomplish. To begin, tap the “Configure your room” icon, and then tap on “General settings”.

Next, we will tap on the “Reviewers” tab.

If we scroll to the bottom of the content on the “Reviewers” tab, we will see a section entitled “A little extra”:

Using these two drop-down menus, we can select what data will be displayed in the reviewer columns. The options available in the drop-down menu will be populated from the applicant forms that you built in the Workflow designer.

Did you know that you can edit the front page (also known as the sign-in page) of your ReviewRoom site? While this has been possible for quite some time, with the release of ReviewRoom 5.0, it is easier to do than ever before.

Click to Edit

After you have logged into the Administrator account for your site, visit your sign-in page and click in the body of the text to reveal a control bar.

This lets you edit your front page as if you were editing a document in a word processor. You can even embed images and hyperlinks by simply clicking the corresponding button on the control bar.

For the Finer Details

Should you wish to edit attributes of your site in greater detail, we’ve also vastly improved the Style editor in ReviewRoom. You no longer need to know how to code in CSS to get the look & feel that you need from your site.

By clicking on the Style drop-down menu, you will see two options: Edit page style and View themes.

class=”aligncenter size-full wp-image-3768″ />

When you click on Edit page style, you will be greeted with our incredible new Style Editor (the picture below has been cropped for this blog post; there are many more elements available for editing with the new Style Editor).

Congratulations, you’re now well on your way to customizing the front page of your ReviewRoom site!

Did you know that ReviewRoom lets you control when a given task can be completed by your participants? You can easily program a start date and time for each task on your site, and in this blog post, you will learn exactly how this is done.

This feature will prove useful when you want to restrict access to one or more tasks until a certain day on the calendar arrives. For example, you can allow contestants to register on your site and complete a series of profile questionnaires, but block them from submitting their contest entry until the official start date of your competition.

How to Set a Start Date for a Task

Begin by navigating to the Workflow designer by tapping on the Notepad icon, and then on the Workflow designer.

Next, tap on the task that you want to modify (not shown), and then tap on the Behaviour tab as shown below:

Scroll down until you see the section entitled “Set a start date”. Be sure that the grey box is ticked so that you can see the following options:

Now you can easily program when this task will be available to your site’s participants. By clicking on the “Start date” text field, a calendar appears which allows for easier date selection:

You can also set a specific time on your chosen date to enable the task, and select the timezone for even greater control.

Concealing a Task until the Start Date

At this point, you might be wondering “How can I block my applicants from seeing the contents of the task before the start date?”

This is a great question, because quite often we want to conceal everything about a given task until our start date arrives, and not simply block our participants from being able to complete it. To achieve this behaviour, we need to make sure that the feature “Viewable before eligible” is not enabled. You’ll find this setting on the Behaviour tab as well:

In today’s blog post, we will be looking at the Triggers system in ReviewRoom, and learning how to use it to pre-qualify applicants based on their answer to a specific question.

But before we dive into this tutorial, we thought it would be helpful to recap on what we’ve already learned about Triggers in previous blog posts. Up to this point, we have already covered how to use Triggers to:

Hide and reveal certain tasks

Automatically categorize applications

Open and close group signups

Note: Feel free to click any of the above links. It will open in a new tab and will not affect this browser window.

Pre-Qualification with Triggers

Pre-qualifying applicants with Triggers can be a big time-saver for organizations that need to process thousands of entries. In the paper-based application processing world, sometimes its the answer to one simple question that helps the adminstrator decide if the application should proceed or not. Using ReviewRoom’s Triggers, this process can be automated.

We are going to demonstrate how ReviewRoom can be used to automatically sift & sort through thousands of incoming applications in real-time and group them according to your needs.

Preparing our ReviewRoom Site

To ensure that this tutorial is easy to follow, we’re going to build a very simple test site in ReviewRoom.

Stages

We have 3 stages in our competition. The first stage contains the task that asks the applicant a question using a form. Depending on the response to this single question, we will use a Trigger to move the applicant to one of the two remaining stages: the “pre-qualified candidates” stage, or the “disqualified candidates” stage.

The Relationship

We are using Relationships to make the logic component of our Trigger easier to configure & understand. After navigating to the Relationships screen, we simply select the “Data Source”, “Relation” and then map the relationship between the two. As the screenshot below indicates, a response of “yes” will create a relationship to the “Pre-qualified candidates stage”, and a response of “no” will create a relationship to the “Disqualified candidates” stage.

Trigger Configuration

From the Triggers page, we tap “New Trigger”. We then set the Trigger to activate when “Submissions: A task has been completed” and we select the task corresponding to the question we will be asking our applicants.

We then select our Actions as the following screenshot indicates:

Notice that we chose the “Move the submission to round…” action, which moves the applicant to the stage indicated in our Relationship named “Blog Tutorial”. Now we simply save the Trigger and wait for the applicants to apply — ReviewRoom will take it from here.

Tutorial Recap

We have just created a simple ReviewRoom site that will accept applicants and ask them one question. We created three stages, or rounds, that represent an applicant’s status. We then created a Relationship and Trigger combination that would automatically move the application into a new round depending on their response to the question.

Recently, the ReviewRoom developers added another highly requested feature to your sites: the ability to set a grace period for your task deadlines. Having a grace period enabled for specific tasks will allow you to discreetly accept applications and collect data after the official deadline has passed.

This can be useful in situations where you want to have a deadline for your online competition, but you don’t need to strictly enforce it. Now let’s explain exactly how to enable this new feature in your site.

How to Set a Grace Period for your Tasks

First, you must visit the Workflow designer in your site. Click on the Notepad icon, and then click on Workflow designer.

Now you must decide which task should have a deadline with a grace period, and click on it. Once the task loads, click on the Behaviour tab.

Scroll down until you see the section entitled “Set a deadline.” If it isn’t already activated, click the grey box to activate the deadline setting. The grey box will then turn into a red square with a white checkmark, as we see in the picture below.

In this section of ReviewRoom you can easily program a deadline for this particular task, as well as enter a positive integer for the grace period setting.

One of ReviewRoom’s core features is its ability to adapt to a wide variety of application processes, and in doing so, accurately represent the intended behaviour and experience of the application process in an online environment.

In today’s blog post, we’re going to showcase a feature of ReviewRoom that allows you to capture signatures from people who are participating in your application process.

When Is This Useful?

Naturally, this feature can be used in any situation where a signature is required or beneficial to your online application process. Here are a few scenarios where some of our customers have used the signature capture feature:

Obtaining acknowledgement from an applicant, e.g. “By signing the bottom of this application, you grant Company XYZ permission to share your personal information with our affiliates …”

Obtaining a firm recommendation, e.g. “Your signature below will confirm your recommendation for Candidate X.”

Confirming the accuracy of the collected data, e.g. “I confirm that the information provided in this application is true and accurate to the best of my knowledge.”

How Does It Work?

The ability to capture signatures is a feature of ReviewRoom’s form builder, which is found in the workflow designer. Simply drag & drop the signature capture widget onto the form builder and it will be added to your workflow.

Capturing signatures works best with a touch-screen device (e.g. tablets), but if your application is being completed on a desktop computer, your participants will be able to use their mouse to leave their mark.

From time to time, our support staff will receive a question regarding the difference between Recommenders and Reviewers in ReviewRoom. In today’s blog post, we will answer this question publicly, as well as explain when you would want to choose one vs. the other when building your competition.

What is a Recommender?

A Recommender is a nominated or appointed 3rd party who can give credence to an application, but cannot decide its fate. The Recommender will usually know the applicant’s identity. You can also think of a Recommender as an endorser; the person can offer support, but cannot ultimately decide the outcome in a contest.

What is a Reviewer?

Reviewers in ReviewRoom, on the other hand, are given the ability to rank, grade or judge applications. Therefore, Reviewers usually do not know the applicant’s identity. And while a Recommender may not be identified until an applicant enters your contest, Reviewers are generally known and registered on your site before the online competition commences.

& With That Being Said..

You might also be wondering when a Reviewer should be used vs. a Recommender, and vice-versa. In almost every ReviewRoom use case, you will need at least one Reviewer who can decide the winner of your online contest or competition. Recommenders, however, are more commonly used in cases such as the following:

If your applicants need to provide a reference,

If your applicants require sponsorship,

If your competition requires applicants to be nominated for consideration,

etc.

In Conclusion

We hope that this blog post has helped to explain the differences between Reviewers and Recommenders in ReviewRoom. If you would like further clarification, do not hesitate to get in touch with us today!
